The type of personal information I collect:

I currently collect and process the following information:

  • Name

  • Email and phone number

  • Address when appropriate (for murals / decorating services only)

 

For all activities undertaken in the Cabin I also collect:

  • Age of client when under 18yrs

  • Additional information provided by the client to ensure their wellbeing – i.e. regarding additional needs or allergies

  • Name and contact details of TWO emergency contacts for the client

  • Recorded data of all activity in the Cabin

  • SDQ data when provided by the client

 

How I get the personal information and why I have it:

All the personal information I process is provided directly by you for one of the following reasons:

  • Enable communication regarding work or sessions required

I use the information that you have given me in order to:

  • respond to communication

  • keep the client and myself safe in the Cabin – including Safeguarding

  • provide age appropriate sessions and resources

  • provide information when legally required to do so

I will ONLY share this information with:

  • If I have any queries or doubts as to a child’s wellbeing I will contact Children’s Services or CCPAS (Churches Child Protection Advisory Service) or the organisation known as Thirtyone:eight for advice on 0303 003 111            info@thirtyoneeight.org

  • If fraud or terrorism is indicated I will contact the appropriate services

  • Police

  • A court of Law

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases I rely on for processing this information are:

How I store your personal information:

The following information is password secured on my gmail account:

  • Adult client name, email, phone number, address

The following information is stored on a hard drive which is locked behind 2 doors:

  • Name of client when under 18yrs, Additional information provided by the client to ensure their wellbeing – i.e. regarding additional needs or allergies, Recorded data of all activity in the Cabin

The following information is stored in a paper file which is locked behind 2 doors:

  • Name and contact details of TWO emergency contacts for the client, SDQ data

 

All information is kept for the duration of the work being undertaken / sessions provided. 

 

At the end of that time period I will automatically dispose of the following with a paper shredder:

  • Name and contact details of TWO emergency contacts for the client

I will ask for consent to keep the following in order to contact you regarding activities in the future.  If you do not consent it will be deleted from all digital storage:

  • Adult client name, email, phone number, address

For safeguarding reasons I will keep the following information for the duration of 10 years:

  • Age of client when under 18yrs, Additional information provided by the client to ensure their wellbeing – i.e. regarding additional needs or allergies, Recorded data of all activity in the Cabin, SDQ data when provided by the client

 

In the event of my unexpected death my legal executor is required & empowered to destroy all data associated with work in the cabin, including all recordings.

Your data protection rights

Under data protection law, you have rights including:

Your right to rectification - You have the right to ask me to rectify personal information you think is inaccurate. You also have the right to ask me to complete information you think is incomplete.

Your right to erasure - You have the right to ask me to erase some of your personal information in certain circumstances.

Your right to data portability - You have the right to ask that I transfer some of the personal information you gave me to another organisation in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, I have one month to respond to you.
